ABOUT INKOMOKO
Inkomoko Entrepreneur Development Ltd is a business consulting development firm focused on growing small to medium enterprises in Rwanda. Founded in 2012, Inkomoko provides consulting, training, and technology tools, so that Rwandan and refugee entrepreneurs can grow their businesses and create jobs. We have staff in 10 locations across Rwanda, with a headquarters in Kigali and a secondary office in Musanze.
ABOUT THE ROLE:
Having a highly qualified and diverse staff who can meet our skills and culture needs is key to Inkomoko’s success. The Administration Manager is a mid-level position to provide administrative support for Inkomoko departments and Directors. Under the supervision of the Director of Finance and Administration, the Administration Manager will supervise administration team members and ensure that daily office operations are performed in a seamless and efficient manner to support Directors and company efficiency. The successful candidate will be self-motivated, responsible, responsive, has an attitude that leads to fast problem-solving in order to keep our company as effective as possible. .

WHAT YOU WILL DO:
Specifically, the Admin Manager will:
EXECUTIVE SUPPORT (30%)
• General support to Directors in a range of admin roles, including setting meetings, drafting correspondence, etc..
• Project managing the “Pain Points and Time Waster” projects and coordinate the Happiness Audit
ADMIN SUPPORT & SUPERVISION (40%)
• Supervise all admin support staff including drivers, receptionist, cleaners, and security at all properties
• Oversee administrative officers/associates for all affiliates/branches
• Support HR Team in new staff on-boarding to company policies, processes, systems
• Draft new company administration policies and propose amendments to existing policies to improve efficiency and coordination (for instance procurement for approval by management)
• Manage office calendars
• Planning and organizing company-wide events, including the annual staff retreat, holiday party, training sessions, monthly team meetings, etc.
• Put in place and manage a centralized online and offline filing system for the company
• Manage travel logistics for the company, including scheduling in-country driving trips for staff, as well as international flights and accommodation for Directors
PROCUREMENT & ASSET MANAGEMENT (30%)
• Manage the company’s procurement process in compliance with the organization operations manual
• Supplier contracts management: maintain a relationship with suppliers. Negotiate and review services offered by suppliers for quality purposes; verify vendor invoices and deliveries and ensure all supporting documents are received and correct before processing payment.
• Managing the company’s assets, including acquisition, assets tagging, maintenance, and disposal
• Work with IT System Admin to keep updated asset register for all IT equipment
• Ensure proper maintenance of company vehicles, including 'vehicle inspection certificate' and insurance

CANDIDATE QUALIFICATIONS
Successful candidates will embody our organizational culture and mission to support entrepreneurs. Our work environment is fast-paced, positive, solutions-oriented, and we have very high standards.
Minimum qualifications include:
• Undergraduate degree required
• 4 years + experience in a similar role providing excellent support to directors and teams
• Strong professional writing and organizational skills
• Self-starter, with proven ability to produce results (KPIs are results-based, not effort-based)
• Demonstrated ability to prioritize tasks and manage multiple deadlines
• Exceptional use of email, Google docs, Word, Excel, etc.
• Experience with administrative tasks – filing, copying, letter writing, etc.
• Exceptional attention to detail
• Finance, procurement, and budget experience strongly preferred
• Absolute confidentiality and discretion is required of this sensitive position
• Fluent in written and spoken English, French, and Kinyarwanda
