Dear Sir/Madam,

The International Gorilla Conservation Programme (IGCP) would like to invite authorized and reputable companies to submit their bids for the supply of High-resolution TV Screens and Tablets (technical specifications are provided below). 

1. About IGCP

The International Gorilla Conservation Program (IGCP) is a coalition of three international conservation organizations: Fauna & Flora International (FFI), World Wildlife Fund (WWF) and Conservation International (CI). IGCP was formed in 1991 to address the long-term conservation of the mountain gorilla and its regional Afromontane Forest habitat in the Virunga Bwindi Landscape.

2. Timeline 

Issue of Tender Notice: Tuesday, 24 February 2023

Deadline for submitting Bids: Tuesday, 7 March 2023 at 5 PM 

3. Instructions to Bidders 

• Participation is open on equal conditions to all qualified entities specialized in the field.
• By submitting a tender, the Bidder accepts in full the conditions of this tender, waiving his/her won conditions of sale.
• Please read carefully all instructions and conditions and ensure all relevant information and documentation is provided on time, as failure to do so may result into rejection of your bid.
• The bid submitted should include the following documents:
   
• Letter of intent
• Quotation with proposed specifications for High-resolution TV Screens and Tablets including warranty period (minimum of 12 months), and delivery time.
• RDB Company Registration Certificate
• Company VAT registration (TIN Number) 

4. Submission of Bids 

The interested companies should submit their bids that comprises all documents above in one zip folder to procurement@igcp.org, with the Subject: Tender_ High-resolution TV Screens and Tablets_IGCP. 

5. Evaluation of Tenders

When analyzing Bids, IGCP will take into account the following: 

Administrative evaluation: this will consist of checking if the company is compliant to administrative requirements. 

Technical evaluation: this step will evaluate technical specifications in the bid in reference to the specifications in the tender document. 

Financial evaluation: this will consist of evaluating the financial quotation to select the Bidder who offer best value for money.

6. Pricing 

Prices must be expressed in Rwandan francs and should be inclusive of VAT and other taxes as provided by law in Rwanda. 

7. Payment Terms 

• Payments shall be made by bank transfer within 15 days from the day of receipt of the items by IGCP along with required documentation (the delivery note the invoice)
• No advance payments will be offered in this tender
• IGCP reserves the right to reject materials due to incorrect specifications or damages 

8. Conditions of the Tender 

• Submit a complete quotation including administrative and technical requirements
• IGCP reserves the right to select and with any Bidder capable to provide IGCP with the best value for money.
• This request for quotation is not a contract nor an offer into a contract, but requests for expression of interest for the service indicated in this document.
• Bidders are bound by their offer for a period of thirty (30) days from the date of submission.
• IGCP is not responsible for any costs associated with preparing the tender response
• IGCP reserved the rights to alter the dates of the timelines proposed in this document.
