Terms of Reference for Purchase of Double Cabin Pickups

Background

Rwanda women’s network is seeking to purchase Three double cabin pickup trucks to support its operations and logistics. The truck will be used for various purposes such as transporting equipment, carrying goods, and traveling to remote sites. The purpose of this document is to outline the requirements and specifications for the purchase of the double cabin pickup. 

Objective

The objective of this procurement is to acquire a reliable, durable, and efficient double cabin pickup truck that meets the specific needs of RWN. The truck should be capable of performing various tasks, both on-road and off-road, while ensuring the safety and comfort of its occupants. 

Scope of Work

Vehicle Type: The procurement is limited to the purchase of a double cabin pickup truck.

Specifications: The truck should meet the following minimum specifications:

Manufacturer: [Toyota, Fiat, Nissan, Isuzu, Mahindra]

Model: 2023

Engine: Engine capacity 2.2L

Transmission: Manual/auto

4x4 Capability: [Required]

Seating Capacity: 5

Load Capacity: 900-1T

Bed Dimensions: LxWxH (1489x1520x550) mm

Safety Features: [Minimum required safety features, such as airbags, ABS, stability control]

Additional Features: [Any additional features required, such as navigation system, Bluetooth connectivity, etc.]

Delivery Time: The truck should be delivered within 5days from the date of awarding the contract.

Warranty and After-Sales Service: The supplier should provide a warranty period of [12 months] for the trucks and should also offer reliable after-sales service and support.

Evaluation Criteria: The selection of the supplier will be based on criteria such as price, compliance with specifications, reputation, warranty terms, after-sales service support, and any additional factors deemed necessary by RWN.

Terms and Conditions: The supplier will be required to adhere to all relevant laws, regulations, and ethical standards, as well as comply with the terms and conditions specified by RWN in the procurement process.

Procurement Process

Advertisement: The procurement will be publicly advertised through appropriate channels.

Supplier Evaluation: Suppliers will be evaluated based on the specified criteria, and shortlisted suppliers may be invited for further discussions or demonstrations if necessary.

Negotiation: The selected suppliers may be invited for negotiation to finalize the terms, conditions, and pricing.

Contract Award: The contract will be awarded to the supplier who best meets the requirements and provides the most advantageous offer.

Contract Execution: Upon awarding the contract, the necessary documentation and agreements will be executed between RWN and the supplier.
